What we collect and store, and why
We collect personal data about you during your visit to our website, and the checkout process within our online shop.
While you visit our site, we’ll track:
- Pages and products you’ve viewed: we’ll use this to, for example, show you products you’ve recently viewed
- Location, IP address and browser type: we’ll use this for purposes like estimating taxes and postage, and to re-evaluate what we present to visitors within the website
- Postage address: we’ll ask you to enter this so we can estimate postage before you place an order, and then send your purchases!
Website content
Pages on this site may include embedded content from other websites (e.g. videos, images, articles, etc.) – these behave in the exact same way as if you have visited the other website directly. These websites may collect their own data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.
When visitors leave comments on the site we collect the data shown in the comments form, (as well as the visitor’s IP address and browser user agent string) in order to help spam detection. A ‘hash’ (anonymised string created from your email address) may be provided to the Gravatar service to see if you are using it. If you upload images to the website (e.g. via comments), you should be aware that other visitors can download and extract any location data from images on the website. Avoid uploading images with embedded location data (EXIF GPS) included.
Cookies
We also use cookies on our website – for example, these can keep track of basket contents while you’re browsing our shop.
When you purchase from us, we’ll ask you to provide information including your name, billing address, postage address, email address, phone number, credit card/payment details and optional account information like username and password. We’ll use this information for purposes such as:
- Sending you information about your account and order
- Responding to your requests, including refunds and complaints
- Processing payments and prevent fraud
- Setting up your account for our online shop
- Complying with any legal obligations we have, such as calculating taxes
- Improving our shop offerings

Who on our team has access
Members of our team have access to the information you provide us. For example, both Administrators and Shop Managers can access:
- Order information, such as what was purchased, when it was purchased and where it should be sent, and
- Customer information, like your name, email address, and billing and postage information.
Our team members have access to this information to help fulfil orders, process refunds and support you.

Payments
Whilst our shopfront uses a third-party tool, it does not extract any information about you – data is kept securely within the website itself. However, we accept payments through PayPal. When processing payments, some of your data will be passed to PayPal, including information required to process or support the payment, such as the purchase total and billing information.

Visitor Tracking
In order to maximise the visitor experience, we use third party tracking analysis services to identify such things as the location, IP address, device type and browser you are using.
Any technical data that we collect about you during a visit to our website helps us to form a view on what we think you may interest you. This is how we decide which products, services and offers may be relevant to our customer base, and so we can adjust such things as page layout and content.
Marketing and Communications
Through the process of becoming a member of the club, some of your data will be passed to a third party, to manage the membership billing process or to facilitate contacting you in the event of changes to our schedule or emergency situations.
You will receive marketing communications from us if you have requested information from us, or purchased goods or services through us – unless you have chosen to opt out of receiving that marketing.
Comments
Visitor comments and reviews may be checked through an automated spam detection service.
How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
For users that register an account on our website (e.g. through our online shop), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
We generally store information about you for as long as we need the information for the purposes for which we collect and use it, and we are not legally required to continue to keep it. For example, we will store order information for 10 years for tax and accounting purposes. This includes your name, email address and billing and postage addresses.
How we protect your data
Our website is hosted through a third party, stored on our servers inside the European Economic Area (“EEA”). By submitting your personal data, you agree to this transfer, storing or processing. All reasonable steps are undertaken to ensure that your data is treated securely and in accordance with this privacy policy.
The website CMS (Content Management System) is regularly updated to keep in line with security enhancements, fixes and protection features. A number of monitoring tools and features also identify potential unwanted access attempts. Access to personal data within the site is strictly controlled, and limited to small number of the team. Suitably complex (secure) passwords have been enforced. To prevent undue downtime in the event of critical site failures, regular site backups are made and archived to third party storage services. As with the website itself, access to these services are strictly controlled, and limited to small number of the team.
In the event of a data breach, within 72 hours of becoming aware, we will inform anyone that has an account in the system as to the extent of the breach, the measure being put in place, what the likely consequences are, and what should be done as a result of this.
What rights you have over your data
If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. If you have previously purchased through our online shop, you can update your contact details by logging back into your account (via the shop page).
